The Billing Dashboard

The Billing dashboard is where all the individual charges add up into a picture of your school's finances: how much you've billed, how much you've collected, what's still outstanding, and when the money reaches your bank. This guide walks through reading it.

Where to Find It

Open Billing from the left sidebar and stay on the Dashboard tab (it's the one that opens by default). The dashboard reflects the school year selected at the top of the page, and a Refresh control lets you pull the latest figures, since payments and payouts move throughout the day.

The Metrics Row

Across the top sits a row of headline metrics that summarize your finances at a glance. These include:

Together these answer the quick questions: how much have we handled, how much is on hand, and how are we doing right now.

Tuition Collection

Below the metrics, the tuition collection summary focuses specifically on your tuition for the selected year:

This is the view to check when you want to know how tuition — as opposed to one-off invoices — is tracking for the year.

Invoices, Transactions & Payouts

The dashboard then lets you switch between three detailed views:

Tip: When a deposit lands in your bank and you want to know exactly what it covers, open that payout under the Payouts view. It breaks the deposit down into the underlying payments, which is far faster than matching figures by hand.

A Note on Payouts and Timing

Payouts are handled by Stripe, your connected payment processor, on its normal schedule. There's usually a short delay between a family's payment clearing and the money being paid out to your bank — which is why a payment can show as collected while the balance is still pending. This is standard payment timing, not a problem to fix.

Note: Some of the deeper reporting and advanced billing views depend on your subscription. If a panel appears locked or unavailable, it isn't included in your current plan — reach out if you'd like it enabled.
