The detail panel is where you actually work with a family. Select any person on the Everyone tab and it fills the right side of the screen with everything about them and their household. This guide walks through the panel top to bottom: the header, the member tabs, and every section on a person's record.
At the top of the detail panel is the household name — for example, The Smith Household — alongside three actions that apply to the whole family:
Because these live on the household, anyone you add here starts out attached to this family.
Below the header is a row of tabs. There's one tab per person in the household — students first, then guardians (guardians are marked with a crown icon) — followed by two family-wide tabs: Household (home icon) and Billing (credit card icon). Click a person's tab to see their individual record; click Household or Billing for the family views. The Household and Billing tabs are covered in the other guides; the rest of this one covers an individual person's record.
Every person's tab opens with their profile card, topped by their name and photo. You can upload or change the profile photo by selecting the avatar and choosing an image. The fields differ by person type:
On a guardian's profile, the email address has a one-click copy button — useful when you need to paste it into another tool. To change any of the underlying details, open the ⋯ menu on the profile card and choose Edit, which opens the same form used to create the person.
Student profiles include an Emergency Contacts section — the people your school should call if something happens and a guardian can't be reached. Each contact records a name, phone number, relationship, and email.
Use Add a contact to create one, the edit (pencil) button on a row to change it, and the contact's own controls to remove it. Emergency contacts are specific to the student, so add them on each child's tab rather than expecting them to carry across the household.
Tip: Capture at least one emergency contact for every enrolled student, ideally someone other than the primary guardians. It's the kind of record you never need until you really need it.
Both guardians and students have an Internal Notes section — private, staff-only notes that families never see. Notes are perfect for the context that doesn't belong in a form: a scheduling quirk, a conversation you had, a reminder to follow up.
Each note shows who wrote it and when (as "today," "3 days ago," or a date). Use Add a note to write one, and the ⋯ menu on a note to Edit note or Delete note. Because notes are attached to a specific person, keep guardian-related notes on the guardian's tab and student-related notes on the student's.
Note: Internal notes are for your team only. Nothing you write here is shown to families or included in any family-facing communication.
The Student Applications section lists the applications tied to this person, each with the application's name, the school year, and a status badge (for example Applied, Accepted, Enrolled, Rejected, or Withdrawn). Select View on any row to jump straight to that application in your Applications area, where you can see the full submission and make decisions.
If the person has no applications yet, use Send an application to send them one — the same action that's in the panel header. This is how you connect an existing family in your directory to a new application without making them start from scratch.
The detail panel is designed so a single family lives on one screen: switch between members with the tabs, read and edit each person's profile, keep emergency contacts and notes where they belong, and see applications at a glance — all without leaving the household.
