Creating a New Application

The New Application page allows you to create and configure an enrollment application, set the application window, and define pricing tiers. This process has two main steps: Define the basics and Set up your pricing.


1. Define the Basics

Fields:

  • Name – Enter a clear, descriptive name for the application (e.g., “Main Campus 2024-2025” or “Summer Program”).
  • School Year – Select the academic year the application is for.
  • Description – Provide a short explanation or notes about the application. This may help differentiate it from other applications.
  • Application Window Start – The earliest date applicants can submit their forms.
  • Application Window End – The last date applications will be accepted.

Tips:

  • Be precise with the application window to avoid confusion for families.
  • If you run multiple programs, make sure the name and year clearly identify which one this is for.

2. Set Up Your Pricing

You can configure up to three prices per application. Pricing tiers allow you to offer early-bird rates, standard pricing, and late registration fees.

Sections:

Starting Rate (Required)

  • Display Name – Example: “Earlybird”
  • Cost – The initial fee for the application.
  • Starts On – The first day this rate is active.
  • The system will automatically set the end date based on when the next price tier begins.

Price Increase 1 (Optional)

  • Display Name – Example: “Standard Registration”
  • Cost – The fee after the earlybird period ends.
  • Starts On – Date this pricing becomes active.

Price Increase 2 (Optional)

  • Display Name – Example: “Late Registration”
  • Cost – The final fee for late applicants.
  • Starts On – Date this pricing becomes active.

Tips:

  • Ensure there are no gaps between pricing periods so that applicants can always see the correct cost.
  • If you don’t want multiple price tiers, you can set only the Starting Rate and leave the others blank.

3. Creating the Application

Once all fields and pricing are set:

  1. Review all information for accuracy.
  2. Click Create to save and publish the new application.
  3. The application will now appear in your Applications dashboard.

Step 1: Click “New Application”

  • Navigate to Applications in the left-hand menu.
  • Click the New Application button (yellow, top-right).

Step 2: Define the Basics

This section sets the foundational settings of your application:

  • Name: Internal identifier for the application (not visible to families).
  • Description: Optional notes to describe the application cycle (e.g., “Fall 2025 K-8 Enrollment”).
  • Application Window Start: First day applications are accepted.
  • Application Window End: Final date for submission.
  • Cover the $25 platform fee: Toggle ON to pay this fee for applicants; OFF if the applicant should pay.

Step 3: Set Up Pricing

Configure up to three pricing tiers per application based on the submission date.

Each tier includes:

  • Display Name: Shown to applicants (e.g., “Earlybird”).
  • Cost: Dollar amount charged during that tier.
  • Starts On: Date when this pricing tier begins.

Example structure:

  • Earlybird – $80 (Jan 1–Feb 28)
  • Standard Registration – $100 (Mar 1–Jun 30)
  • Late Registration – $150 (Jul 1–Dec 31)

⚠️ No need to enter end dates; they are inferred from the next tier’s start date.

Step 4: Save the Application

Click Save to publish. The application will appear in your dashboard and begin accepting submissions if within the date window.
